How Product Owners Can Use AI Without Losing the Plot

The irony of the modern Product Owner role is that much of what consumes time is precisely the work that adds the least value. Meeting notes turned into action items. Jira tickets assembled from workshop outputs. Status summaries for stakeholders who want to know what the team is working on without having to read the backlog. Important work, but not the work that requires a good Product Owner.

This webinar, recorded with Better Change Fellow Giuseppe De Simone, addresses that problem directly — not with theory, but with demonstrations of tools and techniques that POs can use immediately.

What the session covers

Trail prompting for meeting notes. The session demonstrates a structured prompting approach for extracting useful outputs from raw meeting transcripts: risks, decisions, open questions, and Jira-ready tasks. The key insight is that generic prompts ("summarise this meeting") produce generic outputs. Structured, sequential prompting produces targeted, actionable summaries that are actually useful to specific audiences.

Automated workflow from transcript to task. Giuseppe demonstrates a live integration between N8N and Jira that takes raw meeting notes and outputs draft epics, stories, and tasks — with context linking the work to strategic intent. The AI skips the blank page. The Product Owner still makes the judgment calls about what is included and what the priority is. This is the important distinction: automation of the mechanical, not delegation of the meaningful.

The human edge in an AI world. The session includes a frank discussion of what AI cannot do. Analytical thinking, empathy, stakeholder navigation, the judgment to know which technical trade-off is the right one given the product context — these are not automatable. Research from the World Economic Forum on skills in demand by 2030 anchors a discussion about where Product Owners should be investing their development effort as AI tools become more capable.
